Where to Search Winnebago County Illinois Deeds

The Recorder offers three separate electronic search services. The free service provides basic index data, while its paid systems are better suited to retrieving images or researching many instruments.

Direct Search — Free

Best when you need to identify a deed, recording reference or party names without paying. It provides limited index information, not recorded images.

Open Free Direct Search ↗

Tapestry — Pay per Search

Best for occasional remote research where you need more than a basic index result. The county lists $8.75 per search plus $1 per printed page.

Laredo — Frequent Users

Designed for title researchers and other users who frequently investigate property instruments. Contact the provider to review subscription terms.

Best starting point: Try Direct Search first. If the index identifies the deed you need, save its reference and choose between an office copy, a mail/email request or paid online image access.
Illinois, not Wisconsin: This guide covers Winnebago County, Illinois, whose Recorder is in Rockford. Winnebago County, Wisconsin has a separate Register of Deeds and different search procedures.
When You Only Know the Address

How to Find a Winnebago County Deed by Property Address

First: Identify the Parcel

  1. Open WinGIS Property Search.
  2. Locate the property using the map or available search fields.
  3. Confirm that the parcel is in Winnebago County, Illinois.
  4. Note the owner name, parcel number and legal-description details.

For help with WinGIS, the county lists (815) 319-4450.

Then: Search the Recording Index

  1. Open Recorder Direct Search.
  2. Search the relevant owner’s name.
  3. Check the document type and recording date.
  4. Match the property description where possible.
  5. Save the instrument reference for a copy request.
Do not confuse the PIN with a deed number. A Property Identification Number helps locate a tax parcel, but a deed may be indexed under its document number and recorded parties.

Before Filing a New Deed

Winnebago County Illinois Recording Requirements and MyDec

Winnebago County requires qualifying real-estate transfers with consideration of $100 or more to use Illinois’s electronically completed MyDec transfer declaration. Since July 1, 2023, the Recorder has not accepted the older paper PTAX-203 versions for those transactions.

Standard Document Requirements

  • Use individual 8.5 × 11-inch sheets, not permanently bound.
  • Use legible black text on white paper of at least 20-pound weight.
  • Keep at least a half-inch margin on every side.
  • Leave a 3 × 5-inch blank area at the upper right of the first page.
  • Do not staple attachments to the pages.
  • Include the required return-to name and address.
  • Use the proper signatures, acknowledgment and legal property description.

MyDec Transfer Declaration Steps

  1. Open the Illinois MyDec service.
  2. Prepare the transfer declaration for the transaction.
  3. Provide the required parties, parcel and consideration details.
  4. Complete any required local transfer processing.
  5. Ensure the declaration status reads “Closing Completed.”
  6. Submit the completed declaration with the recordable conveyance.
Important local rejection point: The Recorder specifically says MyDec must show Closing Completed before acceptance. A draft or incomplete declaration is not enough. Exempt and unusual transactions may have separate requirements; confirm with the office.

Copies and Staff-Assisted Research

How to Obtain a Winnebago County Recorded Deed Copy

1

Find the Basic Index Information

Use free Direct Search to locate the document number, recorded names and date.

2

Decide Between a Regular and Certified Copy

An ordinary office copy is $0.50 per page, subject to the county’s per-document maximum. Certified copies are listed at $35 per document.

3

Choose an Access Method

Visit the Recorder’s office, use Tapestry for paid remote searching and printing, or send an authorized mail/email search request.

4

Confirm the Request and Payment

For mail requests, provide a self-addressed stamped envelope or email contact. The county limits staff searches to five per request and says to allow up to two business days for processing.

Cost-saving tip: If you already know the document number, ask whether you can order the specific document rather than paying for a broad staff search. The county cannot search records over the phone, but can explain its request process.
Electronic Recording

Does Winnebago County Accept E-Recording?

Yes. The Recorder currently lists e-recording partners including EPN, CSC, Indecomm Global Services, Simplifile and Hopdox.

Submission cutoff: Electronic documents are reviewed daily, with the last review at 2:30 PM. Documents sent after that time are scheduled for review on the next business day. Submission does not itself guarantee acceptance or same-day recording.

Official E-Recording Vendor List ↗

Check instrument eligibility and vendor charges before paying. An electronic filing still has to satisfy Winnebago County’s recording and MyDec requirements.

What to Ask Before Visiting

  • Whether a public search workstation is available.
  • Availability of older land-record books and plats.
  • How to order a certified copy.
  • Current cash, check and card requirements.
  • Whether an original instrument meets recording standards.
  • MyDec acceptance and transfer-processing questions.
  • Current office closures and accessible building entry.

Payment caution: The Recorder says it does not accept cash bills larger than $50. Card service fees may be passed to customers.

Correct room matters: The Recorder is in Room 405. The County Clerk is separately listed in Room 104 at the same street address. For deeds and mortgages, go to the Recorder rather than the County Clerk’s vital records counter.
2026 Property Fraud Update

Winnebago County Property Fraud Alerts and Recorded-Deed Review

Under Illinois Public Act 104-0382, counties must establish a property-fraud alert system and a process for reviewing certain potentially fraudulent deeds or recorded instruments.

The Winnebago County Recorder published a notice on June 1, 2026 describing its planned fraud referral and review process, with anticipated implementation on or after September 8, 2026. The posted notice does not, by itself, confirm the final launch date, so check the Recorder’s latest announcement for current operation.

Sign Up for Free Alerts

  1. Open the official Recorder homepage.
  2. Select Property Fraud Alert.
  3. Register the name you want monitored.
  4. Choose email, phone or text notifications as offered.
  5. Investigate unfamiliar recording notifications promptly.

What the Service Does Not Do

The alert system does not guarantee that a suspicious document will be blocked from recording. It provides notice of matching records.

If you suspect deed fraud, save the document reference and contact the proper authorities or an Illinois real-estate attorney. Ask the Recorder about its current fraud referral process.

Troubleshooting

What If Your Winnebago County Deed Search Fails?

No Match for an Owner

Remove commas from party names, try an earlier owner or business name, and review alternate recording dates. Confirm that the property is in Winnebago County, Illinois.

No Document Image

Free Direct Search does not supply images. Use Tapestry, Laredo or an official office copy request if you need the actual instrument.

Property Address Is Not Searchable

Use WinGIS to locate the parcel and identify the owner or legal description. Then search the Recorder’s recorded-party index.

Older Record Is Hard to Find

Ask about an archive or staff search request. The office maintains land-record history from the 1830s, but not every old document is necessarily available as a free digital image.
