What Berks County Recorder Search Results Mean
A Recorder result is a recorded-document reference. It may show ownership history, mortgages, liens or releases, but it does not replace an assessment parcel record, tax certification, legal title opinion or title insurance.
Grantor and Grantee
Grantor usually means the party giving or transferring an interest. Grantee usually means the party receiving it. In mortgage records, lender/borrower roles can appear differently.
Document Type
Deed, mortgage, satisfaction, assignment, easement, right of way, subdivision plan, UCC lien and charter records have different meanings. Do not assume every document transfers ownership.
Document Number or Book/Page
These are retrieval references. Save them before calling the Recorder, ordering copies, comparing title records, or tracing older index-book chains.
Legal Description
A Pennsylvania deed should identify the property legally, often by municipality, county, state, parcel/UPI, subdivision, plan or prior deed reference. Street address alone is not enough.
UPI / Property ID
Berks County requires the Property ID number on real-estate related documents. Use Assessment or parcel tools to verify the correct number before recording.
Property Alert
Berks County’s FraudSleuth / Property Alert option can email alerts when a document recorded in the office matches the alert information. It is a notice tool, not a recording block.
How to Record a Deed in Berks County, Pennsylvania
Recording a deed is different from searching a deed. The Recorder records documents that meet county and Pennsylvania requirements, but the office does not act as your attorney, title company or document preparer.
Prepare the Correct Legal Instrument
Deeds, corrective deeds, mortgages, satisfactions, rights of way, easements and assignments affect different rights. Use a Pennsylvania attorney or title professional when a document changes ownership, inheritance, marital rights, trust property or financing.
Make the Document Legible and Recordable
Berks County says instruments are scanned for image retention and must be clear dark print; light copies will not be recorded. The Documents page suggests white 8.5-by-11-inch paper and one-inch margins at the top, sides and bottom of each page.
Include the Berks County Property ID / UPI
Berks County states that the Property ID number is required on all real-estate related documents. Use the Assessment parcel tools or the county’s “How to locate the Parcel ID number” instructions before recording.
Add Statement of Value When Required
Berks County says a Statement of Value must accompany deeds that do not state the full and complete property value unless a family exemption applies and is stated in the deed. The county also says Statement of Value forms are counted as an additional page when determining recording fees.
Calculate Transfer Tax and Recording Fees Carefully
The Recorder’s fee schedule states that personal checks are not accepted for transfer tax and that checks should be made payable to “Berks County Recorder of Deeds.” Confirm the current fee before mailing because the schedule was updated effective 11/14/2025.
Submit by eRecording, In Person or Mail
Berks County says it accepts documents by eRecording, in person or by mail. If filing by mail, include a self-addressed stamped envelope of appropriate size for document return.
Verify the Recorded Document Later
