Pickaway County OH Recorder: Search Deeds, Find Land Records and Record Documents
The Pickaway County Recorder’s Office in Circleville maintains deeds, mortgages, easements, surveys, plats, powers of attorney, leases and other documents affecting real estate in Pickaway County, Ohio.
Searching these records is unusually straightforward once you know the county’s indexing rules: modern documents are indexed by name, historical indexes have special letter-search rules, and older mortgage notations may appear in a different part of the record.
This guide covers the CountyFusion search, original and historical records, recording cutoffs, Auditor and Engineer approvals, document fees, copy requests, and the Recorder’s office location.
Information reviewed October 17, 2026. Based on published Pickaway County Recorder procedures and Ohio recording law.

How to Search Pickaway County Ohio Deeds Online
The Pickaway County Recorder uses CountyFusion for online records access. Unlike an assessor property search, the Recorder’s modern index searches are name-based. The Recorder specifically recommends finding the listed owner through the Auditor when you only know a property address.
Find the owner if you only have an address
Open the Pickaway County Auditor website and use its property search. Search by address or parcel number, then record the current listed owner and relevant parcel details.
Open CountyFusion through the Recorder’s website
Go to the official Search Public Records page and select the CountyFusion records link. This helps ensure you use the portal endorsed by the Recorder rather than an unrelated paid property-search website.
Search the modern name index
The Recorder states that all modern indexes from January 1, 1990 to the present can be searched by typing a name. Try the property owner, a previous owner, a lender or a business entity as appropriate.
For a deed, check both grantor and grantee. For a mortgage or lien, search the parties and later recordings for a release or assignment.
Confirm the correct instrument
Compare the party names, instrument type, recording date, property description and book/page or official-record reference. A common last name can produce multiple documents unrelated to the property you are researching.
Open the image and inspect references
The Recorder states that most document images are available back to approximately 1980. Images available through its public website can be downloaded, saved or printed without a county copy charge.
Check the legal description and references to earlier or later documents before deciding that the record is the one you need.
Request a copy when the online image is missing
For older instruments, locate the book and page reference, then call the Recorder. Staff can provide requested copies for $2 per page, but the office does not perform title searches for customers.
Searching Historical Pickaway County Deed Books
Pickaway County has maintained public land records since 1810. Its historical indexing instructions differ materially from those used for modern recorded documents, making this one of the most important details for an older property search.
| Period | Available Index / Record Type | How to Search |
|---|---|---|
| 1810–1990 | Historical Indexes | Use the Historical Indexes area. Generally enter the first two letters of the searched surname. |
| Historical R index | Special letter exception | Enter only the first letter R, rather than the usual two-letter approach. |
| Historical SCH names | Special grouping exception | Look under SH as directed by the Recorder. |
| 1980 onward, generally | Many document images | Open the matching record to check whether its image is available. |
| January 1, 1990–present | Modern searchable name indexes | Search directly by name through the regular CountyFusion index. |
| April 16, 1996 onward | Official Records series | Search the consolidated official-records system. |
Why the April 16, 1996 change matters
The Recorder states that its Official Records series began on April 16, 1996. Before that date, documents were maintained in separate categories, including Deed, Mortgage, Lease, Power of Attorney, Mechanics Lien, Federal Tax Lien, Partnership and various other lien books.
When an older deed refers to a book and page, make sure you are checking the correct historical record category. Searching only the modern Official Records series may not reveal the earlier instrument.

How to Record a Deed in Pickaway County, Ohio
Pickaway County accepts in-person, eligible mailed, and electronic recordings. However, documents needing Engineer Map Department or Auditor approval cannot simply be sent to the Recorder by mail for internal routing.
Prepare the document correctly
Use an appropriate deed prepared with accurate grantor and grantee names, legal description, signatures, acknowledgment and relevant prior deed information.
The Recorder’s forms page specifically says the office does not supply recordable deed forms and recommends obtaining legal drafting assistance.
Determine whether Engineer approval is required
If the document contains a new survey or new legal description, contact the Pickaway County Engineer Map Department before recording.
Documents involving new surveys and new legal descriptions must be walked through in person. The Recorder says they cannot be e-recorded or mailed for this purpose.
Complete Auditor transfer requirements
Deeds transferring real property may require Auditor review, conveyance fee processing or exemption documentation.
The county provides links to the Ohio Real Property Conveyance Fee Statement of Value and Receipt and DTE 100EX exemption statement through its forms page.
Check standard recording fees
Pickaway County applies Ohio Revised Code 317.32 recording charges, including its $5 preservation surcharge adopted January 1, 2025.
Confirm document page count, marginal references, standardization compliance and any additional charges before preparing payment.
Choose the permitted submission method
Bring original documents to Suite G, use approved electronic recording procedures, or mail only those original documents that do not require Engineer or Auditor stamps.
For mailed documents, include the correct fee and a self-addressed stamped return envelope.
Confirm the final recorded document
After acceptance and recording, save the document’s official-record reference. Check CountyFusion for the recorded image and confirm the parties and legal description match the intended filing.
In-Person vs. Mail vs. E-Recording in Pickaway County
| Submission Method | When It Works | Important Restrictions |
|---|---|---|
| In person | Bring original documents to Suite G in the Pickaway County Service Center. | Get any required Auditor or Engineer approval before reaching the recording counter. The same-day recording cutoff is 3:30 PM. |
| Original documents not requiring Auditor or Engineer stamps may be sent with correct payment. | The Recorder cannot forward mailed documents through those approval departments. Include a stamped return envelope. | |
| E-recording | Available through third-party e-recording vendors; Pickaway County has offered it since 2017. | Eligible documents needing Engineer review require preapproval. New surveys and new legal descriptions cannot be e-recorded. |
| Papered-out electronic document | Certain electronically signed/notarized records may be printed for submission under Ohio law. | Requires a separate original Authenticator Certificate under ORC 147.591. Certificate pages add recording charges. |
Electronic recording processing window
E-recordings may be transmitted 24 hours a day, seven days a week. However, the Recorder processes them during its published processing hours of 8:00 AM–3:45 PM, Monday–Friday, excluding government holidays.
Submissions received when the office is closed are processed the next business day. Documents needing Engineer preapproval must include that approval as an addendum.
What Types of Documents Can You Find?
Deeds
Recorded ownership-transfer instruments. Check the grantor, grantee, legal description, execution date and recording reference.
Mortgages and Releases
Use original mortgage records and later releases or assignments to understand recorded mortgage activity. A lender payoff alone is not the same as locating the release.
Plats and Surveys
These can provide subdivision and land-description information. New surveys and descriptions are subject to Pickaway County’s special Engineer workflow.
Leases and Easements
Recorded easements or leases may explain rights of access, use or encumbrances affecting a property.
Liens
Historic index categories include mechanic’s liens, federal tax liens and other lien types. Their legal effect may require professional review.
Military Discharges
Soldier discharge records are handled differently from ordinary public land records. Contact the Recorder for filing and access rules.
Pickaway County Recorder Recording Fees and Copy Charges
Pickaway County’s published January 1, 2025 change added a $5 preservation surcharge per document. Under Ohio Revised Code 317.32, many standard instruments otherwise start at $34 for the first two pages, with $8 for each additional page.
| Fee Item | Amount | Practical Explanation |
|---|---|---|
| Standard document, first 2 pages | $39 | $34 Ohio statutory fee plus Pickaway County’s $5 document-preservation surcharge. |
| Each additional recording page | $8 | Applies beyond the first two pages for instruments subject to the standard schedule. |
| Nonstandard document surcharge | May apply | Documents failing Ohio formatting standards can incur an additional charge. Review the Recorder’s standardization guidance. |
| Office-provided document copies | $2 per page | Staff-provided copies and copies requested from older historical books. |
| Available online document images | Free | The Recorder says online images accessible through its public website may be saved and printed without a copy charge. |
| Card payment processing | 3% or $1 minimum | Whichever is greater, payable to the credit-card vendor. |
| Conveyance and transfer fees | Separate | Contact the Pickaway County Auditor for applicable transfer processing and exemptions. |
| Electronic recording vendor fees | Provider-dependent | E-recording services may charge additional fees separate from Recorder charges. |
Pickaway County Standard Recording Fee Estimator
Use this calculator to estimate the standard first-two-page recording charge, additional pages, and optional staff copy charges. The estimate includes the published $5 county preservation surcharge.
Recording $39.00 • Copies $0.00 • Processing $0.00
This estimator is intended for standard recording instruments only. It excludes nonstandard document fees, marginal notations, Engineer/Auditor charges, conveyance taxes, specialized filings and e-recording vendor fees. Confirm the final amount with the Recorder.
Important Local Details That Can Change Your Recording Plan
The 3:30 PM Cutoff
The office remains open until 4:00 PM, but documents presented after 3:30 PM are not processed for recording until the following business day.
That matters when a closing or other transaction depends on the recording date.
Mail Is Not Universal
Some original documents can be recorded by mail, but not those requiring Auditor or Engineer approval first.
The Recorder specifically says it will reject mailed documents that require those stamps.
New Legal Descriptions
Documents with new surveys or new legal descriptions must be handled in person. Do not attempt to e-record or mail them under the ordinary electronic filing process.
The Recorder Cannot Search for You
Staff can assist with navigating the public records and search system, but the office states it cannot perform searches for customers.
For legal title work, use a title examiner or title company.
Pickaway County FRAUDSLEUTH Recording Alerts
The Pickaway County Recorder offers a free recording alert service known as FRAUDSLEUTH. It can notify a registered user of certain recorded activity associated with a monitored name.
This is useful for noticing unexpected documents, but it does not legally prevent a document from being recorded, remove a fraudulent deed or resolve a title dispute.
A separate 2026 issue: MV Realty Homeowner Benefit Agreements
On February 19, 2026, Recorder Sarah Turner published a county notice about a limited cancellation opportunity involving certain MV Realty of Ohio Homeowner Benefit Agreements. The notice described an April 29, 2026 cancellation deadline and conditions established through an Ohio Attorney General resolution.
That specific deadline has passed. Homeowners who believe an agreement affects their property should review the recorded documents and seek current Ohio Attorney General guidance or legal advice, rather than assuming the expired offer is still available.
