Kane County IL Recorder: Search Deeds, Land Records, Copies, Fees & Geneva Office
The Kane County Recorder’s Office in Geneva records original property instruments and maintains Kane County’s permanent archive of land titles and ownership records. Use this office for deeds, mortgages, releases, judgments, liens, plats, land-record copies, Property Watch alerts, personal-information redaction requests and recording questions.
This guide explains how to use the official Kane County land-records search, what the Recorder can and cannot do, which fees changed after the October 1, 2024 GIS fee increase, how eRecording and MyDec fit into deed recording, and when a property question belongs to the Treasurer or Supervisor of Assessments instead.
Where Do You Search Kane County Recorder Deeds and Land Records?
Use the official Kane County Land Records Search for online deed and document searching. Use the Kane County Recorder’s Office at 719 S. Batavia Ave, Building C, Geneva, IL 60134 when you need in-office research, official copies, older land-record help, recording support, copy-center help, Property Watch questions, or guidance about whether a document meets Kane County recording requirements.
Use Land Records Search When
You need to find a deed, mortgage, release, lien, judgment, subdivision or land-record reference online. The official site states you do not need an account to search; an account is only needed for Property Watch.
Best first link: Land Records Search.
Use the Geneva Office When
Visit or call the Recorder when you need help with recording, official copies, copy-center orders, tract-department questions, pre-computer research, form selection boundaries, or rejected-document questions.
Office: 719 S. Batavia Ave, Building C.
Use Other Offices When
Use the Supervisor of Assessments for assessed value, exemptions and assessment complaints. Use the Treasurer for tax bills and payments. Use the Clerk’s Tax Extension Department for tax rates, redemption and historic tax searches.
Do not confuse: deed record vs. tax record.
How to Search Kane County Recorder Records Online
The official Kane County Recorder website links to both a Land Records Search and a New Land Records Search. The search interface may change, so use the process below as a practical workflow and verify the available search fields on the live portal screen.
Open the Official Kane County Land Records Search
Start from the Recorder’s official website or open the land-records portal directly. Confirm the page belongs to Kane County Recorder before searching or signing up for alerts.
Start With the Name or Document Clue You Already Have
If you know a buyer, seller, lender, trust, LLC, grantor, grantee or document number, start there. Recorder indexes are built around recorded instruments and parties, not only around street addresses.
Use PIN or Address Carefully
If the portal offers a Property Index Number, parcel, address or subdivision search option, enter the information exactly as shown on the property-tax bill, assessment notice or prior deed. Remove apartment numbers or punctuation if the first search fails.
Open the Matching Record and Decode the Index
Review the document type, document number, recording date, party names, legal description, parcel/PIN reference if present, subdivision or tract information, and image availability. Save the document number before ordering copies or contacting the office.
Remember Online Printouts May Be Unofficial
The Kane County land-records portal warns that documents printed from the website are unofficial and that official documents may be acquired at the Recorder’s Office. Use a certified or official copy when a court, lender, title company, government agency or attorney requires one.
Use the Office for Older or Difficult Research
Kane County says its public research area is open to the general public and title searchers and that property records date back to 1837. Documents recorded from 1977 to date are available on a computer/imaging system, while older references may require tract, grantor/grantee, mortgagor/mortgagee or microfilm research.
If You Cannot Find a Kane County Deed or Recorded Document
Search failures often happen because the wrong office, field or document clue is being used. Use this troubleshooting table before assuming a deed was never recorded.
| Problem | Likely Reason | What to Try Next |
|---|---|---|
| Name search shows too many results. | Common surnames, trusts, banks, LLCs and mortgage companies can produce long result lists. | Add a recording-date range, document type, subdivision, PIN, prior owner, lender name or document number if the portal allows it. |
| Address search does not work. | Recorder records are document-index records. The street address may not be the best search key. | Try the owner name, seller name, PIN from the tax bill, legal description, subdivision or document number from a title/closing paper. |
| You found the tax parcel but not the deed. | The Treasurer or assessment site is not the Recorder’s land-record index. | Copy the PIN and owner name from the tax/assessment record, then search the Recorder’s Land Records Search. |
| The document is old. | Older Kane County records may require tract books, grantor/grantee books, mortgagor/mortgagee books or microfilm. | Use the office research area or contact the Tract Department at 630-232-5947. |
| The printed online copy is not accepted. | The portal warns that website printouts are unofficial. | Order an official or certified copy through the Recorder’s Office or Copy Center. |
What Kane County Recorder Search Results Mean
A Recorder result is a recorded-document index. It can help you identify the chain of title, but it should not be confused with an appraisal record or a tax-bill screen.
Grantor and Grantee
Grantor usually means the person or entity giving or transferring an interest. Grantee usually means the person or entity receiving it. Mortgages, liens and releases may use different party roles.
Document Type
Kane County records deeds, mortgages, releases, judgments, liens, plats, UCC-related filings, military discharge records and other instruments. The type tells you why the document was recorded.
Document Number
Save the document number before ordering copies, requesting redaction, setting up follow-up research, checking MyDec/PTAX transfer declarations or talking to a title professional.
Legal Description
The legal description can include subdivision, lot, block, section/township/range, condo unit, plat reference or metes-and-bounds language. It is more legally important than a mailing address.
PIN / Parcel Link
A PIN helps connect the deed record to assessment and tax systems. It does not prove that the tax bill, exemptions or assessed value are already correct.
Property Watch
Property Watch is a free Recorder alert service that emails users when a document is recorded against a property. It helps detect possible fraud early, but it does not block recording.
How to Record a Deed or Land Record in Kane County, Illinois
Recording is different from searching. The Recorder’s Office accepts original property instruments for recording, but it strongly recommends legal help for selecting and completing forms and says it cannot provide legal assistance or advice.
Choose the Correct Form or Attorney-Prepared Document
Kane County provides courtesy forms such as Recording Cover Page, Plat Act Affidavit, Warranty Deed, Quit Claim Deed, Affidavit of Correction and foreclosure-related affirmation forms. The Recorder does not decide which one is legally correct for your situation.
Check Illinois Document Standardization Rules
Kane County’s standardization page lists requirements such as 8.5-by-11-inch sheets, legible black ink, white paper of at least 20-pound weight, half-inch margins, a 3-by-5-inch blank area in the upper-right corner of the first page, and no stapled or affixed attachments.
Prepare the Transfer Declaration or Exemption Notation
For Illinois real-estate transfers, IDOR says Form PTAX-203 and required documents must be filed with the deed or trust document at the county recorder’s office unless an exemption notation applies. Kane County uses MyDec to process property transactions and PTAX-203 forms through the Illinois Department of Revenue system.
Estimate Recording, GIS, Copy and Certification Fees
Effective October 1, 2024, Kane County lists $99 for recording real-estate related documents and $80 for non-real-estate related documents. Certified copies, plats, UCC filings, non-conforming documents and copy delivery may have different fees.
Use eRecording When Eligible
Kane County accepts eRecording through listed vendors including Corporation Service Company, Simplifile and Hopdox. The Recorder says documents that originate on paper are scanned and entered into the recording system, but plats are not currently accepted for eRecording.
Verify the Recorded Document
After recording, search the Land Records Search by party name, PIN, document number or other available fields. Save the final document number and recording date with your closing, estate, trust, mortgage or legal file.
Kane County Recorder Fees for Recording, Copies and Certified Copies
Kane County’s price list states that the listed fees apply to documents presented for recording on or after October 1, 2024. The office currently accepts cash and check only for recordings, checks should be made payable to Kane County Recorder, and the office says it does not accept $100 bills.
| Service | Kane County Listed Fee | What It Means | Important Note |
|---|---|---|---|
| Recording real-estate related document | $99 | Standard real-estate recording fee after the GIS fee increase effective October 1, 2024. | Transfer tax, MyDec/PTAX requirements or non-conforming charges may still matter. |
| Recording non-real-estate related document | $80 | Fee for non-real-estate related documents listed by the Recorder. | Confirm whether your document is classified as real estate or non-real estate before paying. |
| Plat under Plat Act | $127 standard; $108 RHSPS-exempt; $1 each additional page | Applies to certain subdivision, townhouse and related plats governed by the Plat Act. | Kane County stops recording plats at 3:00 PM. |
| Condominium declaration and plat | $149 plus $1 each additional map page | Declaration and plat are submitted and recorded as one instrument. | Review current Recorder requirements before presenting condo documents. |
| Non-conforming document | $102 for non-real-estate related; $121 for more than 5 parcel numbers or more than 5 referenced document numbers | Applies when a document does not fit standard requirements or exceeds listed parcel/reference thresholds. | Use the standardization checklist to avoid avoidable fees. |
| Photo copy | $1 per page | Regular copy fee listed by Kane County. | Not the same as a certified copy. |
| Certified copy | $80 first 4 pages; $1 each additional page | Use when an official certified copy is required. | Contact the Copy Center if you are unsure how many pages the document contains. |
| DD214 military discharge | $0 recordation; $0 certified copies | Kane County lists no charge for DD214 recording and certified copies. | Military discharge records can involve privacy rules; ask before requesting someone else’s record. |
Estimate Kane County Recorder Copy or Recording Costs
This calculator is for planning only. It does not include every transfer-tax, MyDec, municipal, RHSPS, UCC, plat, legal-review, title-company, mailing or special-service fee. Always check the Recorder’s current price list before paying.
Certified-copy math assumes the first four pages are included in the $80 certified-copy fee and additional pages are $1 each. Final pricing depends on the document, page count, delivery method, recording classification and Recorder confirmation.
